How to Create a Catch-All Account on Microsoft Office O365

The goal of the following steps is to create a “Catch-All” account that, no matter how many domains you have in your O365 tenant, receives all the emails with the main goal of not losing any emails. This process is not supported by Microsoft support and only works for full cloud tenants.

Steps to create the account:

1. Create a shared mailbox
Avoid creating a new licensed “paid” mailbox. We are using a “Shared Mailbox” called “Catchall@faboit.com” to receive all emails.
Go to the Office 365 portal> Groups> Shared mailboxes> Add a mailbox.
If you already had an account with “Catchall” as UPN use “Catchall2”. Focus on the message that may take a few minutes and then click “add members to this mailbox”. In the following steps, you need to add a person, a group, or anyone you want to receive all the deceptive emails; with this, we finish phase 1 of 4.

2. Create a dynamic list
In this new part, we’re creating a new dynamic list from the Exchange management portal.
Go to the Office 365 portal> Show All
Show All / Finally, go to “Exchange”
Open the Exchange Management Panel / In the Exchange Management Panel
Go to Recipients> Groups> Small Triangle> Dynamic Distribution List
Fill in the “Name” and “alias” fields with: “all users”, select a user for the owner and manage the group and then click “Save”.
A new dynamic distribution is created. Now, open your newly created “dynamic distribution list” and make sure that in Membership “All recipient types” is selected.
Make sure “All recipient types” is selected and select “save”.
With the above steps, the task is completed.

3. Set up your domain (or domains) as an internal relay.
The third step is also in the Exchange admin panel, so go to:
Mail flow> Accepted domains
Locale “Domain Accepted” in the EAP.
Make sure all your domains are selected as “Internal Relay”; If you do not add this step, the transport rule will fail.
Select Internal Relay.
This will finish task 3 out of 4.

4.Create a transport rule
The last part would be to create a transport rule in your Exchange Management Panel,
Mail flow> Rules> +> Create New Rule
Rule Name: CatchAll Rule
If the sender is “Out of organization”.
Do the following: Redirect the message to “CatchAll” (group in step 1).
Except if “The recipient is a member of”: “All users” (dynamic distribution group in step 2).
Tap save and enjoy.
